What to Check Before Approving Your Sample

The checks to run before approving your sportswear sample — fit, fabric, print, stitching, branding and packaging.

What to Check Before Approving Your Sample

Your sample is the single most important moment in a custom sportswear program. It is the only point where changes are cheap, and it becomes the quality standard every bulk piece is measured against. Approving it carefully takes twenty minutes. Approving it carelessly can cost an entire production run. Run this checklist before you say yes.

1. Fit and Measurements

Put the sample on a real body in the intended size. Check the chest, length, sleeve, and shoulder measurements against your spec — not by eye, but with a tape. Move in it: raise your arms, stretch, sit. A garment that measures right but restricts movement is not approved.

2. Fabric and Weight

Confirm the fabric type, weight, and hand feel match what you ordered. Is it the right GSM? Does it stretch and recover properly? Hold it to the light — thin spots and uneven dyeing show up now, not after bulk is cut.

3. Print, Embroidery, and Colors

Check every branding element: logo placement (is it centered, at the right height?), print or embroidery quality, thread and ink colors against your artwork, and small details like names and numbers. Colors read differently on fabric than on screen — judge them on the garment, in daylight.

4. Stitching and Finishing

Turn the garment inside out. Look for even stitching, no loose threads, secure seams at stress points (armpits, pockets, waistband), and clean finishing on hems, cuffs, and collars. Rough finishing on a sample means rough finishing on a thousand pieces.

5. Labels and Packaging

Check that labels, hang tags, and packaging match your brand system — correct label size and placement, correct tag content, correct bag and box. These are easy to overlook and expensive to fix after bulk packing.

6. Wash and Stretch Test

Wash the sample once, following the care instructions, and stretch it hard. If print cracks, colors bleed, or seams strain, you have found the problem while it is still free to fix.

If Something Is Wrong

Do not approve and hope bulk will be better — it will not. List every issue precisely, with photos and measurements, and ask for a revised sample. Repeat until it is right. Then approve in writing, so the approved sample is unambiguous for both sides.

FAQ

How many sample rounds should I expect?

One round is normal for a clear brief; two or three is common for complex designs. Unlimited vague rounds usually mean the brief was incomplete.

What if I approve, then find a fault in bulk?

Bulk is measured against your approved sample. That is why the checklist matters — approval is the quality contract.

Do I keep the sample?

Yes — keep it as your reference. Your manufacturer keeps the patterns and specifications on file for reorders.
